Questions to ask Muslim wedding vendors before you book

A vendor can have beautiful work and still be the wrong fit for your date, venue or family. The useful questions are the ones that turn a polished profile into facts you can compare. Ask them before paying a deposit, and keep the important answers in writing.

Ask what the halal or faith-conscious claim actually means

“Halal-friendly” can describe different things. Do not assume two vendors use it in the same way. Ask the question that matches the service:

  • For a caterer: who supplies the meat, what evidence is available, and how is cross-contamination handled?
  • For a venue: are outside halal caterers allowed, is alcohol served elsewhere, and what prayer or washing facilities are available?
  • For photography, beauty or staffing: can female-only staff or private coverage be arranged if required?
  • For any vendor: which details are independently evidenced and which are self-declared?

Confirm the date, location and exact hours

“Available that day” is not enough. Ask what time the team arrives, when setup begins, how long the booked coverage lasts and what happens if the running order moves.

For dates around Ramadan or Eid, confirm locally and ask the vendor directly about staffing, delivery and access. PlanMyNikah date notes use a deterministic civil-Hijri estimate with a tolerance for local moon sighting; they do not declare a religious date.

Questions to record:

  • Is my date being held, provisionally reserved or fully booked?
  • Does the quote cover every venue and event on the itinerary?
  • Are travel, setup, teardown and waiting time included?
  • What is the overtime rate and who can authorise it on the day?

Compare packages on the same basis

A low starting price and a complete quote are different things. Ask each vendor for the same inclusions so the comparison is fair:

  • the precise service or deliverables;
  • quantity, guest count or coverage hours;
  • staffing and equipment;
  • travel, VAT and other fees;
  • optional upgrades;
  • deposit and balance schedule.

Ask about privacy, access and family requirements

Tell the vendor what the day actually needs. That might include a women-only space, limits on sharing photos, step-free access, dietary allergens, a quiet room, separate entrances or a named family contact.

Useful questions include:

  • Who can see or reuse our photographs and video after the wedding?
  • Can social sharing be disabled in the written agreement?
  • Which accessibility requirements can you support at this venue?
  • Who will be the on-the-day contact, and who may make changes?
  • Which details do you need about guests, and how will you handle them?

Share only what the vendor needs for the service. Keep private family or guest information out of a first enquiry unless it is necessary.

Understand the backup and cancellation plan

The contract should answer what happens when the original plan cannot run. Ask about substitute staff, equipment failure, severe travel disruption, illness, venue changes and cancellation by either side.

Check:

  • which payments are refundable and when;
  • whether a date can be moved and at what cost;
  • who chooses a replacement professional;
  • what evidence is provided if the vendor cancels;
  • when the final balance becomes due.
